The tools and systems you choose to use can significantly impact your operations. But it's not just about choosing the best individual system; it's about how these systems communicate and integrate with each other. 

Purposeful system integration can streamline your operations, improve client and team member experience, and give you a competitive edge.

Importance of Integration

As your business grows, it becomes increasingly essential for your systems to communicate. This simplifies your role as a business owner/operator and improves efficiency. A great example is the integration of payroll and scheduling systems in a business.

Real Example

In my own business, The Soap Box, I decided to switch from QuickBooks to Gusto for our payroll system. This wasn't because QuickBooks was a bad system but because it didn't meet our evolving needs as we grew and changed the business. 

We needed a system that could integrate with our scheduling software, Deputy, to automate the process of inputting team members' hours and processing paperwork and payments to be submitted to the state and federal government.

This integration allows me to confirm team members' hours in Deputy and then automatically export these hours to Gusto. I then open our POS system to run a report for the week's tips, enter everyone's tips in Gusto, review the payout amounts, click submit, and I'm done. This process takes me about 8 minutes, compared to the hour it used to take me with QuickBooks.

This purposeful integration has saved me time and made the process more efficient and less prone to errors. I can easily hand over the system to a regional or general manager, allowing me to focus on growing the business.

As you plan to grow your locations, having systems and tools that simplify work and support the team is crucial. The last thing any business owner wants is to be tied down by inefficient systems that slow growth. Choosing systems that can grow and evolve with your business is a strategic move that can pay off in the long run.
